The IAPCO Annual Meeting and General Assembly is not just any association meeting: their members are the world’s top Professional Congress Organizers (PCOs), and the delegates are not only expert planners with years of experience, they are also leading voices in the global meeting industry. 

Each year, the IAPCO AM&GA gathers its members to explore industry trends, exchange knowledge, and network. For the 2025 edition in Taipei, Taiwanlook was in charge of developing and executing all social program elements, including field trips, afternoon and morning activities, as well as pre- and post-event tours for all the members and their spouses during this week-long event. 
 

Background

  • The client requested a comprehensive social program for the industry's most demanding audience: IAPCO members are global conference organizers and board members who establish benchmarks for excellence in the meetings industry, making them an exceptionally critical audience to impress.

  • We faced significant logistical and environmental challenges throughout the week: Weather conditions turned against us with wind and rain threatening outdoor activities, while a key venue (National Palace Museum) was crowded with tourists during our scheduled Saturday afternoon session.

  • The client specifically requested a standout "wow" moment that attendees would remember long after the event: This ambitious request came as a last-minute addition, requiring rapid adaptation and creative problem-solving under pressure.

  • Multiple stakeholders and limited resources created additional complexity: We navigated relationships between agency intermediaries and local suppliers while managing tight timeframes and limited personnel for specialized tasks.

  • Technical restrictions at key venues posed significant barriers: Drone usage was prohibited at critical locations, and height limitations made capturing quality photography especially challenging for large group formations.

Event Planning and Coordination

As the primary social program organizer, Taiwanlook established a foundation of transparency and constant communication with the client. We recognized early that many delegates would be experiencing Taiwan for the first time, creating both a responsibility and opportunity to showcase our country's unique offerings. Our planning process involved creating a carefully curated cultural program that would offer meaningful and immersive experiences. 


The most significant challenge emerged when we received a last-minute request to create a standout moment: organizing 120 attendees to form the IAPCO community logo for a group photo at the National Palace Museum during a busy Saturday afternoon. Despite crowded conditions, weather concerns, and technical restrictions (no drones, limited height for photography), our team committed to making this ambitious vision a reality.


We developed contingency plans for weather variables, coordinated precise timing to minimize disruption from tourist crowds, and designed a creative solution for capturing the formation despite photography limitations. Throughout the process, we maintained regular updates with the client, especially when rain and wind temporarily halted preparations.

Program Highlight

The client and attendees were genuinely thrilled with the results, specifically expressing gratitude for "making the impossible possible." For many delegates experiencing Taiwan for the first time, our program created a "Taiwan first" impression that combined professional excellence with cultural richness.


Our ability to deliver under pressure (especially with the logo formation photo) established a new precedent for IAPCO events. This unique group photo became the first-ever formation photo taken at an IAPCO gathering, setting a new standard for future meetings.


Most importantly, the client was so impressed with our performance that they are now considering hiring our team for future IAPCO meetings—the ultimate testament to the value we delivered.
